Services Provided:
  • Janitorial/Custodial Services. Our janitorial/custodial personnel use green cleaning products. Responsibilities include office, classroom, corridor, stairwell, lobby, and restroom cleaning; sanitation, floor maintenance; refuse removal; special cleaning services; and special event set-up.
  • Building and Building System Maintenance; Repair and Operation. Responsibilities include repair and operation of the following equipment: electrical, plumbing, lighting and mechanical system maintenance; repair and operation; HVAC maintenance; repair and operation; life safety; emergency and security system maintenance and repair; swimming pool maintenance and repair, carpentry; painting, re-lamping; ballast replacement; lock and door repairs and replacement; and integrated pest control.
  • Central Heating; Cooling and Power Plant Maintenance; Repair and Operation. Responsibilities include repair and operation of boilers, chillers, cooling towers, ancillary equipment, switchgear and emergency power system, including all distribution systems to provide heating, air conditioning, and electric service to the campus buildings.
  • Grounds Management. Services include landscaping, plant and tree maintenance, parking lot and ball field maintenance, and snow removal.
  • Vehicle Fleet Maintenance; Repair and Management Services include repair and management of passenger, maintenance, and grounds-keeping vehicles and equipment.
  • Waste and Recycling Management program.
  • Minor Repair. Renovation and construction services.
Those Tasks Performed on a Routine Basis as Part of Building Services Follow:
  • Trash removal from offices, classrooms, toilets, elevator lobbies, hallways, etc., should be at least once per day and more often if required. Trash is removed by janitorial/custodial staff.
  • Vacuum office with carpets at least once per week. Heavy traffic offices with high volume use should be vacuumed twice a week.
  • Vinyl and other hard floor surfaces should be washed at least once per week and swept as often as needed. Vinyl floors should be stripped and waxed once per year in offices. Corridors and classrooms are stripped and waxed at least once per year and often twice per year and are spray buffed at lease once per week, or more often if needed due to heavy volume and use.
  • Furniture should be dusted at lease once per month, please clear desks and other surfaces to be cleaned of all paperwork. The custodians have been instructed not to move papers or personal items.

Services beyond routine building services must be requested by work order.

The College has a contract for integrated pest management services. The service technician is here every Thursday throughout the entire year. If you are experiencing a problem, either call the Buildings and Grounds Office at 718-960-8180, or send in a work order to arrange a visit. Immediately report any unusual infestation or severe pest problems to the Buildings and Grounds office.

All other special service requests are by work order as follows.

All requests for repairs and other work must be submitted electronically by the Departmental Chair, Departmental Secretary or their designee to the Buildings and Grounds Department via the link on the Campus Planning and Facilities or Buildings and Grounds web page.


Some Examples of Typical Work Items Requested Are:
  • installation of picture hanging hooks
  • assembly of furniture
  • installation of electric outlets
  • installation of shelves
  • replace lamps in the light fixture


Special cleaning requests such as rug and upholstery shampooing and blind cleaning must be submitted as a work order. A B&G Supervisor will contact the room occupant to schedule work.

Secured, alarmed rooms are cleaned either on a schedule since we need Public Safety to open the room and re-arm the room once we complete the cleaning or with room occupants present. If your room is alarmed, or has recently been alarmed, please contact Buildings and Grounds to have the room added to the secured room cleaning schedule or to arrange cleaning when you are present.

Submit a work order request to Buildings and Grounds for minor moves within a room, such as a file cabinet from one wall to another, or to another room within the Department. Major moves and renovations must be planned and scheduled through the Office of Campus Planning and Facilities at extension 8226.


Work Order Requests Will be Scheduled in Priority Order
  • health and safety issues are the highest priority, warranting an immediate response
  • facility preservation
  • teaching and research related needs and issues
  • special event set-ups that are scheduled in advance
  • all other requests

Repairs of an emergency nature, such as water leaks; a sparking electric switch, light or power outlet; an elevator out of service; and repairs that need immediate attention, such as inoperable doors and windows; broken door hardware, etc., should be phoned into the Buildings and Grounds Office at 718-960-8180 between the hours of 8 a.m. and 5 p.m. Please state that it is an emergency and the nature of the emergency. After 5 p.m., contact Public Safety at Gate 5 by dialing 718-960-8228. An officer will reach the Buildings and Grounds Supervisor on duty to respond.

Report heating and/or air conditioning problems to the Watch Engineer on duty in the central plant at 718-960-8434, seven days/week, 24 hours/day.

As with any emergency situation, do not leave a message on voice mail and do not send via e-mail. Make sure you speak with a person and advise that it is an emergency requiring immediate response.

If there is a deadline when work must be completed or a special event requiring a set-up on a certain day by a particular time, clearly state the date, time and parameters on the work order request.

We endeavor to respond to work order requests in a timely manner; however, there are times when factors beyond our control affect our response time. We appreciate your patience and cooperation. If a work order has been submitted and there has been no response or follow-up call, contact the Buildings and Grounds office and ask to speak to the supervisor who assigns the work order.

Please keep in mind that only supervisors in the Buildings and Grounds Department walk with a notebook to record those service items verbally reported to them by the College Community, as they make their rounds. Other staff members such as custodians, maintenance workers and trades-people do not carry notebooks and often will, in the course of carrying out their assigned task, forget to report the service item or request reported to them. It is not intentional. Please call, e-mail ,or submit a work order to the Buildings and Grounds Office to report items requiring repair or attention.

Every member of the College community can help keep the campus clean by paying attention to litter, minor spills, and reporting other problems. When possible, if we all make the effort to clean up after ourselves and pick up that stray piece of litter we might see, not only does it remind others to do the same, but also ensures that the College will remain a beautiful and healthy place for us to work and learn in.

Input and observations from you, the occupants and users of the facilities, are the most important to us in servicing the facilities. We appreciate and encourage you to report anything out of order, including any problem and facility related issue. The cooperation of everyone is needed to help keep Lehman College operational and attractive.
